SUSTAINABILITY HUBThe full picture

Year-round sustainability data, in one place.

Beyond per-product carbon, PromoTrace tracks your full company sustainability picture — energy, water, waste, suppliers, policies, actions, targets. When a corporate client asks for a sustainability rating or scope-3 disclosure, you’re hours from submission, not weeks.

Company sustainability

Track operational data continuously. When the questionnaire arrives, the answer is already written — energy, water, waste, suppliers, policies, targets, the lot.

  • Energy, water, waste, fuel, refrigerants — tracked annually
  • Supplier register with auto KPIs (Scope 3 upstream)
  • Policy log · sustainability actions · targets with progress
  • Multi-site & multi-country across 37 country grids
Why this matters now

Corporate clients are cascading sustainability requirements onto every supplier.

Distributors supplying global brands are increasingly asked to produce sustainability ratings, scope-3 product data and quantitative environmental KPIs as part of vendor approval. Missing the ratings can mean losing the contract. Producing them manually means weeks of spreadsheets — and several thousand euros to consultants.

Multi-site · Max tier

Multi-site & multi-country, out of the box.

Distributors with multiple locations — London headquarters, New York office, Tokyo subsidiary — can track per-site sustainability data independently, or generate a consolidated company-wide rollup with one click. Each site uses its country’s grid intensity automatically.

Thirty-seven country grid factors from IEA 2024 — Switzerland 0.034 kg CO₂e/kWh (hydro and nuclear) to South Africa 0.860 kg CO₂e/kWh (coal-heavy). Renewable electricity share — REGOs, RECs, PPAs — reduces emissions linearly under the GHG Protocol market-based method.

Frequently asked questions

Everything you might want to know before bringing your company-level sustainability data into PromoTrace. If you need more, book a demo.

How is the Sustainability Hub different from the Calculator?
The Calculator computes the CO₂e of a single product for a single tender or client report. The Sustainability Hub tracks your company’s year-round operational footprint — energy, water, waste, suppliers, policies, actions, targets — so that when a corporate client asks for a sustainability rating, scope‑3 disclosure or ESG questionnaire, the answer is already written. You get both on every paid plan.
Which reporting frameworks does it align with?
The methodology stack is the one corporate sustainability reviewers expect: DEFRA 2024 for emission factors, IEA 2024 for country grid intensity, IPCC AR5 for refrigerant GWP100, the GHG Protocol Scope 2 Guidance (market-based method), ISO 14064-1 for the GHG inventory boundary, plus Idemat 2024 and GLEC v3 for the product-LCA side. Output maps cleanly onto common sustainability ratings and scope‑3 disclosure formats. Read the full methodology →
What are the eight modules exactly?
(1) Company operations — electricity, natural gas, diesel, petrol, LPG, biomass, district heating, water, waste with treatment breakdown, refrigerants & F-gases, employee and floor-area metadata. (2) Climate physical risk — flood / heat / storm / water-stress per site with adaptation tracking. (3) Supplier register — per-supplier rows with country risk, ISO certifications, REACH, code-of-conduct date; auto-KPIs (% assessed, Scope 3 upstream, etc.). (4) Policy & certification log — 16 policy types with audit metadata. (5) Sustainability actions log — per-action records with estimated savings. (6) Targets & progress — quantitative commitments with live progress. (7) Training records — auto-computed team coverage percentage. (8) External verification — status, verifier, standard, evidence URL.
Do I need multi-site reporting?
Single-location distributors don’t need to think about it — Pro auto-creates a Main site and the Hub operates transparently as one tracked location. Multi-site is for distributors with multiple legal entities or operational locations (HQ + offices + warehouses) that need either separate per-site reporting or a consolidated company-wide rollup. Each site uses its country’s grid intensity automatically — a London site picks the UK factor, New York the US factor, Tokyo the Japan factor. Multi-site is available on Max.
What happens to historical data when the methodology updates?
Every saved row is stamped with the methodology revision it was calculated under (currently v1.2.0). Historical numbers are immutable — nothing rewrites yesterday’s audited figure. When a new methodology revision ships, you see a one-click recompute preview (old vs new vs Δ) and choose whether to migrate selected rows forward. Reviewer-friendly audit trail, no surprise recalculations.
Can I attach evidence to inputs (utility bills, REGOs, contracts)?
Yes — every major numeric input has an evidence URL field. Drop in a link to the utility bill, REGO certificate, waste contractor invoice, payroll summary, lease document, supplier audit PDF, training-attendance sheet. The URL flows through to the audit trail. Per-row revisions snapshot the full input + output set on every save.
How long does the initial Hub setup take?
For a typical distributor: 30 to 90 minutes for the first reporting year, depending on how organised your sustainability inputs already are. We walk you through site setup, energy and water entries, your top suppliers, your active policies, and any targets you’ve already committed to publicly. From year two onwards, updates take a few minutes per quarter as you log new readings and supplier interactions.
Who at PromoTrace can see my Hub data?
Your Hub data is scoped to your company — team members at your distributor see it; team members at any other distributor on the platform do not. PromoTrace platform admins (the internal engineering and customer-success staff) can access your data only when you raise a support request — every cross-tenant view is logged in the audit trail and visible to you under your admin pages.
Can the Hub generate a finished sustainability report?
Today the Hub generates structured data + the per-site / consolidated dashboards you can export as PDF. A guided document generation engine — producing finished annual sustainability reports, environmental policy statements, supplier sustainability reports, and submission packs for the major rating frameworks — is in active development (Phase 3 of the Hub roadmap). Existing customers are first in line.
