How do I get started?
New customers come on board through a 30-minute demo on your own catalog. We schedule it within one business day, walk through the calculator live with three of your real products, and activate your account from there. Book a slot.
What does "annual prepay = 2 months free" actually mean?
The annual price is exactly 10× the monthly price. So you pay for 10 months and use the platform for 12. €740 × 10 = €7,400 for Pro Annual; €990 × 10 = €9,900 for Max Annual. The discount is built into the price; nothing further to claim.
Can I switch between Monthly and Annual later?
Yes, from your billing settings. Upgrade applies pro-rata immediately; downgrade applies at the end of the current paid period. Stripe Customer Portal handles the proration math.
What payment methods do you accept?
Stripe-hosted Checkout — Visa, Mastercard, American Express, and SEPA Direct Debit for EU customers. Bank transfer is available for invoices on Max-tier customers who request it.
Is VAT included?
No — prices are net. Stripe collects VAT at the prevailing rate for UK and EU customers (UK 20% standard, reverse-charge for B2B EU customers with a valid VAT number). Outside the UK and EU, no VAT applies. The invoice issuer is PromoWave Ltd (VAT GB293075488).
Can I cancel any time?
Yes. From your billing settings → "Cancel subscription". Cancellation takes effect at the end of your current paid period — you keep access until then, no refund for the unused portion of a monthly plan. Annual cancellation is governed by the Refund Policy.
What happens to my data if I cancel?
You retain access until the end of your paid period. After cancellation: 90-day soft-delete window where you can export everything or reactivate. After 90 days, calculations and personal data are hard-deleted; invoices and audit log are retained for UK VAT and accounting purposes (7 years).
Are there per-calculation limits or overage fees?
No. Pro and Max both include unlimited saved calculations. Some carbon-tracking tools cap you at 100–1,500 "scores" per month and charge overage when you go over — so a distributor running 200 SKU calculations in a busy quarter pays more than one running 20. With PromoTrace, you pay the same flat subscription regardless of how many calculations you run. The only metered surface is the Max-tier API (1,000 calls per key per day), raisable on request.
What is the difference between Pro and Max?
Both tiers include unlimited saved calculations, the full calculator, white-label PDFs, the methodology, and the complete Sustainability Hub (operations tracking, suppliers, policies, actions, targets, climate risk, verification, training records, evidence URLs). Max adds: bulk Excel/CSV upload, public API access (1,000 calls/key/day), unlimited team members instead of Pro’s 15, and multi-site Sustainability Hub with consolidated rollups across locations. Pick Max if your team is bigger than 15, you import an existing catalog, you integrate via API, or you operate across multiple sites.
What does the Sustainability Hub include?
Year-round company-level sustainability tracking that complements the per-product calculator. Eight modules: company operations (energy, water, waste, fuel, refrigerants), climate physical risk assessment, supplier register with auto KPIs (% with code-of-conduct, % assessed, average rating, Scope 3 upstream), policy log (sixteen policy types with audit metadata), sustainability actions log, quantitative targets with live progress, training records with coverage %, and external verification tracking. Built on DEFRA, IEA, IPCC, GHG Protocol and ISO 14064 — reviewer-grade methodology across thirty-seven country grid factors. Included on every paid plan.
When does multi-site matter?
Single-location distributors don’t need it — Pro includes the auto-created Main site and operates transparently as one tracked location. Multi-site (Max) is for distributors with multiple legal entities or operational locations (headquarters, regional offices, warehouses) that need either separate per-site reporting OR a consolidated company-wide rollup. Each site uses its country’s grid intensity automatically — a London site uses the UK grid factor, a Milan site uses the Italian grid factor, a Zurich site uses the Swiss grid factor.
